If you run HCL Sametime alongside your Domino servers for chat and meetings, version 12.0.3 is worth a second look — not because it’s brand new (it shipped in 2025), but because several of its additions close long-standing gaps, and one of them quietly changes what your Domino licence already entitles you to. This is a recap of what the point release delivered.

Chat

Two additions that regular chat users notice immediately:

  • Read receipts. You can now see when your messages have been read by the recipient — the “did they see it?” uncertainty that every other messaging platform resolved years ago finally lands in Sametime chat.
  • Mobile chat search. From the mobile client you can locate specific messages or conversations by keyword and filter, instead of scrolling back through history.

Meetings

  • Automatic recording transcripts. Per the official notes, “Meeting recordings now can be automatically transcribed, providing a searchable, written record of the discussion in the meeting report.” That turns a recording from a video you have to re-watch into a searchable text artifact attached to the meeting report.
  • Smoother guest join. Joining a meeting as a guest takes fewer steps.

Accessibility

12.0.3 is where Sametime made a genuine accessibility pass rather than a checkbox: screen-reader support, keyboard navigation, high-contrast display options, and accessible meeting controls, across both web and mobile. If your organisation has accessibility-compliance obligations, this is the release that makes Sametime defensible on that front.

A modernised UI

The interface was rebuilt on “the latest HCL Enchanted and React design systems, delivering a modern, consistent experience” — aligning Sametime visually with the rest of the HCL Digital Solutions line. There are also mobile quality-of-life fixes: status now updates automatically based on activity (even across server session timeouts), and notifications persist so your availability stays accurate.

The part Domino admins should read twice

The most consequential item isn’t a feature — it’s an entitlement change. Per the release notes, “File transfer, screen capture, and instant meeting link sharing are now included in the standard Domino Complete Collaboration Bundle.” Capabilities that were previously premium chat features are now part of the standard Domino CCB. If your users are licensed through the Domino bundle, they may have gained file transfer and screen capture without a separate Sametime Premium purchase — worth checking against your current entitlement before anyone buys something they already own.

Upgrading

The fix list (KB0121688) covers the administration, chat, and meetings bugs resolved in 12.0.3, and the system requirements (KB0121489) list the supported platforms — confirm your Domino and container/Kubernetes versions against it before upgrading, since Sametime 12.0.x deploys via Docker for single-server chat and Kubernetes for org-wide meetings. (The official What’s New page doesn’t print a release date; the 12.0.3 launch was announced in mid-2025.)
